Rep Ledger help

Answers to the questions shop owners ask most.

How does it know which orders belong to a rep?

By a tag on the order, or by the discount code the customer used. Set this once for each rep on the Reps page. A tag or code can belong to one rep only, and matching ignores capital letters. A rep can have both a tag and a code: add the second one on the Reps page and they still get one statement.

I tagged the wrong order.

Take the tag off the order in Shopify and create statements again. The sale leaves that rep's unpaid statement. A statement you have already marked as paid is not changed, so settle that one with the rep yourself.

How do I tag an order?

Open the order in Shopify and add the rep's tag in the Tags box. Draft orders and Shopify Flow can add tags for you. An order tagged before it is paid counts as soon as it is paid.

What is commission worked out on?

The price the customer paid for the goods after discounts. Shipping never earns commission. In Settings you choose whether tax is left out first when your prices include it.

What happens when an order is refunded?

A refunded item takes its commission back in the month of the refund, from the rep whose statement it was on. Refunds of sales that were never on a statement, and refunds with no items on them, are reported for you to check instead of being taken off automatically. Cancelled orders are reversed where the sale can be identified.

Why is an order missing?

Orders that have not been paid are not counted. Orders with no rep's tag or code earn no commission, and the home screen tells you how many items that is.

Why can I only see this month and last month?

Shopify gives apps the last 60 days of orders by default. Two whole months is what can be added up completely.

It says an order belongs to two reps.

The order carries one rep's tag and another rep's tag or code. Statements are held back so commission is not paid twice. Take one tag off the order in Shopify, or take that tag or code away from one of them on the Reps page (remove the rep if it is their only one). If both belong to the same person, give them both on one rep.

Can two reps share an order?

Not yet. Each order earns commission for one rep. Tell us if you need splits.

Can I change a statement?

Creating statements again replaces unpaid ones with up-to-date figures. A statement you have marked as paid is never changed; mark it as unpaid first if you need to.

Does the app pay my reps?

No. It tells you the commission due and gives you a statement to send. You pay however you already do, then record it.

Is the price per rep?

No. One price covers as many reps as you have.

How do I get a PDF?

Open a statement, choose Print, and pick "Save as PDF" in your browser's print window.
